The Organic Materials Review Institute (OMRI) is a leading nonprofit organization working to strengthen the organic industry. OMRI operates an internationally recognized evaluation program that reviews and lists input products for use in producing, processing, and handling organic foods and fiber. OMRI Listed® products may be allowed for use in operations that are certified organic under the USDA National Organic Program or Canadian Organic standards.

Overview of Position

We are looking to fill a key position on our team. The Bilingual Program Assistant will be responsible for providing customer support to OMRI applicants via phone and emails, surveilling use of the OMRI Listed seal, supporting OMRI's Spanish education and outreach efforts and providing administrative support to the OMRI Review Program. The Bilingual Program Assistant reports to the Application Manager. Qualified candidates will have excellent customer service skills, a high level of attention to detail, an ability to manage and prioritize multiple tasks as well as to speak, read and write fluently in both English and Spanish.

Major Responsibilities 

  • Provide superior customer service in English and Spanish, including answering questions from OMRI Listed suppliers, applicants and prospective applicants
    • Provide applicants and prospective applicants with detailed information about the OMRI Review Program, including the published standards, policies and requirements
    • Assist applicants with correctly and completely submitting their applications for eligible products as requested
    • Assist with OMRI's Ongoing Compliance (OC) application collection and annual renewal process for Listed suppliers, with particular attention given to Spanish-speaking customers
    • Assist in coordination of OC and annual renewal process, as assigned, including sending notifications and reminders to customers and managing deadlines
  • Identify and address seal use violations in English and Spanish, as directed
    • Identify and document potential violations
    • Notify companies in violation and follow up to determine appropriate resolution
  • Support OMRI's education and outreach services in Spanish
    • Create and translate application materials, educational resources and online content
    • Assist OMRI's marketing staff in promoting OMRI's services
  • Provide administrative support to the OMRI Review Program, including data entry, scanning documents, taking meeting notes and minutes, etc.
  • Ensure that work done is in line with OMRI’s quality management system, and update procedures and processes as requested
    • Thoroughly understand and implement OMRI administrative policies and review criteria
    • Draft or revise document templates, work instructions, and correspondences (i.e. administrative checklists, forms and letter templates) relating to the ORP administrative work as requested
    • Ensure adherence to OMRI’s Quality System
    • Properly manage confidential business information
    • Translate policies, procedures and other documentation from English to Spanish, and vice versa
  • Other duties as assigned

Qualifications

Education and Experience:

  • Bachelor’s degree preferred   
  • 2 years of experience working in an office environment preferred

Skills:

 Required

  • Superior speaking, reading and writing skills in English and Spanish on practical, social or professional topics
  • Strong customer service skills
  • Superior written and oral communications skills
  • Willingness to participate in professional development activities, and ability to acquire new skills and adapt to change quickly 
  • Ability to work constructively as part of a dynamic team 
  • Proficiency in standard office software 
  • High level of attention to detail and ability to process complex information and instructions 
  • Ability to manage and prioritize multiple tasks, organize information, complete tasks in a timely fashion, and appropriate handle confidential business information 

Preferred

  • Familiarity with and support for the organic community

Other Requirements:

  • Ability to work occasional nights and weekends
  • Ability to occasionally travel domestically
  • Ability to provide annual motor vehicle report and proof of auto insurance, if required
